Challenges & Successes

  • Reliable internet connection is always a challenge in Fiji, however, we were able to work with our client to create a name badge with a smaller loading file size without compromising on visual elements or quality.
  • We were able to utilise EventsAIR to connect sellers from Fiji with buyers from across the world via the attendee app. Buyers submit their preferences for the types of exhibitors they would like to meet and the types of event services that interest them. Exhibitors are also required to submit preferences for the types of buyers they prefer to meet. Once filters have been received from both sides, our specialised meeting matching AI software takes over the matching process. The software will consider the answers to all the filtering provided, and on that basis, make recommendations to buyers about the types of exhibitors they can meet at the event.
  • It has been rewarding for the Touchpoint team to be able to partner with Tourism Fiji again and we look forward to continue to foster this relationship. This close partnership allows honest discussions and feedback as we can continue to make improvements to implement at future events.

  • Our onsite check-in solution provided efficiency for delegates with minimal lines.
  • The conference artwork was designed by Tim Prouse, a designer and artist who grew up on Menang country down in Albany WA. This was incorporated on key conference material including name badges, lanyards, digital banners and conference signage. Our client was also able to have two sets of branding for name badges across the different conference sessions with our onsite printing solution.
  • Delegates were able to easily check-in each day using the access control app created for the event.
  • Touchpoint was grateful for this opportunity to connect with the local community and assist with the delivery of an event to improve the health and wellbeing of Aboriginal people in Western Australia.

With ACC being one of our first clients to deploy their virtual conference using the EventsAir streaming service AIRCast, our event delivery team of Erica & Gemma needed to explore and test the AIRCast studio’s functionality in its infancy, to service ACC’s evolving program and session requirements. Having worked with ACC since 2018, we were able to leverage our previous experience with both the team and subject matter to pre-empt requirements.

With ACC’s organizing team, program manager and Erica and Gemma each being located across 4 different cities, we collectively used a variety of communication tools to ensure changes, updates or issues were quickly advised and resolved to ensure a seamless experience for attendees.

Challenges & Successes

The Academy of International Business (AIB) were early adopters of the OnAIR platform, making the decision to move what should have been their annual meeting in sunny Miami to the virtual space in late May 2020. With a six-week lead time, Touchpoint took up the challenge to engineer the newly released OnAIR platform for what remains to be the largest program we have delivered.

Breakout ‘drop in’ style networking rooms were a large part of the AIB program which, while not catered for directly via OnAIR in its infancy, were provided with some ingenuity, by linking external Zoom rooms to sessions. This allowed delegates a central place to watch plenaries and access all content, while maintaining the interactions delegates expected.

As an international association, delegates and presenters logged on from all over the world and were catered for with a rolling 24-hour program of content with speakers scheduled to their suitable time zone, where possible. The Touchpoint team adapted their delivery with two separate teams, each working 12 hour shifts to break the program into manageable pieces to ensure a seamless delivery over 24 hours, no matter the time of day (or night!).

2014 G20 Summit

2014 G20 Summit

The Group of Twenty (G20) meeting is for its members’ international economic cooperation and decision-making. Its membership comprises 19 countries plus the European Union. Each G20 president invites several guest countries each year.

Working in partnership with Centium Software and Thales Australia, the Touchpoint team helped deliver the end to end accreditation solution for the Australian G20 host year.

Touchpoint delivered four major specialised components for the G20 2014 Taskforce during a 12 month integration and onsite implant:
  • Create and implement business workflows to support the accreditation system
  • Introduce best-practice processes for workforce accreditation, credential production and onsite accreditation delivery
  • Experienced quality assurance and ongoing auditing of the accreditation data
  • Onsite operational and logistics planning for the lead-up meetings and Leaders’ Summit.

The Finer Details

A Touchpoint team of 15 was integrated into the G20 Taskforce for over 12 months.  Some of the detailed outcomes that Touchpoint provided the G20 Taskforce included: Engagement with designated accreditation offices at the outset of the registration process We provided guidance on timelines, communication content and engagement strategy. Event database management G20 included more than fifty lead-up events to the main Leaders’ Summit. Our role included establishing a set of best practice data management procedures including:
  • Registration data verification and quality assurance
  • Engagement with each of the stakeholders involved in accreditation background check process and management of the secure transfer of data back and forth for over 30,000 accreditation applications.
  • Accreditation requirement tracking
  • Ongoing accreditation status monitoring and management.
Workforce accreditation One of the most labour intensive and complex tasks for any world event is the accreditation of a large and varied workforce. Touchpoint worked closley with the G20 2014 Taskforce to establish operational procedures and guidelines to ensure that workforce accreditation workshops ran as efficiently as possible. Credential production and onsite operations Touchpoint was intimately involved in the credential production and onsite distribution process at G20. Our services included:
  • Production and distribution of 29,000 accreditation passes for international delegations, media, security and workforce.
  • Assistance and advice with onsite accreditation desk set-up including layout, procedures and equipment deployment.
  • Development of onsite accreditation policy and procedures for pass distribution, new onsite accreditations across all categories, cancellations onsite, RFID Troubleshooting and loss of credentials/reprints

The Commonwealth Heads of Government Meeting 2013, commonly known as CHOGM, is the biennial Meeting of the Heads of Government of the Commonwealth of Nations Touchpoint Meeting Services successfully joined forces with Centium Software and Neal Consulting Solutions to provide an end to end event accreditation solution for CHOGM 2013.

Supporting the implementation of the powerful software EventsPro and AccessPoint® software from Centium Software, Touchpoint implemented a 24 hour registration helpdesk and coordinated the production of over 40,000 accreditation passes for delegates, media, security and workforce. Working in partnership with the local CHOGM Taskforce and stakeholders, Touchpoint supplied data reporting, training, delegate management and liaison as required. To complement the databases and internal and public facing portals developed by Centium Software, Touchpoint developed detailed training guides and processes for a series of sophisticated web forms and portals, allowing trusted agents of the various delegations to submit attendee information for accreditation review. Touchpoint then integrated directly into the CHOGM 2013 team alongside a Centium Software technical support team to drive all of major elements of the accreditation process.

The Touchpoint Team supported the CHOGM Taskforce as an embedded resource, managing the accreditation helpdesk and secure credential production for over 15,000 delegates, media and workforce. Centium Software, with input from Touchpoint, developed a series of sophisticated web forms and portals, driven by event management software, allowing trusted agents of the various delegations to submit attendee information for accreditation review. To complement this, Touchpoint developed a training program to instruct both front and back-end users on using the system. The comprehensive back-end training was crucial in the successful delivery of CHOGM and relied heavily on the extensive experience Touchpoint has with the event management system. Touchpoint provided and managed an internationally accessible and dedicated help desk service in the lead up to and during the event.
