EventsAir database build including registration, multi-currency payments, exhibition management and post event session recording enabling attendees to watch the sessions they missed or rewatch a session on the virtual platform.
We also built and managed the Certificate of Attendance (including CPD and CME points), the Certificate of Presentation (indicating all sessions presented and provided) as well as post event reporting including session attendance for CPD and CME points.
The team also provided onsite registration management, session scanning which required transporting/sourcing local physical equipment to ensure these services were delivered to Touchpoint’s high standards.
Challenges & Successes
- Working overseas brings a unique set of operational challenges, particularly when it comes to logistics and equipment management. At this event, we encountered several hurdles that demanded precise planning and preparation. Our technology and equipment are essential tools for delivering onsite registration services, and ensuring their effectiveness was paramount.
- One of the first challenges we faced was sourcing local equipment that aligned with our operational needs and our existing name badge materials. It was crucial to ensure compatibility, as any discrepancies could have disrupted our registration process. After thorough research and discussions with local vendors, we identified suitable options that would meet our requirements.
- Another significant challenge was the logistics surrounding the testing and setup of our equipment. To streamline this process, we arranged for the equipment to be delivered to a different venue ahead of the event. This advance planning provided us with the necessary time and space to configure and test everything thoroughly before transporting it to the main conference venue. This proactive approach minimised the risk of technical issues on the event day.
- An essential part of our planning process was building trust and establishing relationships with local suppliers and vendors. These connections not only ensured we secured the necessary resources for the event but also provided us with valuable local support. Having trusted partners on the ground made it easier to address any last-minute needs or adjustments.
- Strong teamwork and meticulous planning were crucial in helping us navigate these challenges effectively. Each team member played a vital role, contributing their expertise and insights to ensure that every detail was accounted for.
