Touchpoint has worked with the MFAA team to deliver their events since 2017, developing a strong understanding of their audience, event objectives and technology requirements.
For the 2026 National Conference, we managed the end-to-end event technology supporting both the in-person and virtual attendee experience. Our services included registration and attendee management, onsite check-in and badge printing, the event mobile app, function scanning, and the virtual event portal including management of the live streaming of the conference program.
The Challenge
Delivering this hybrid event required careful coordination between Touchpoint, MFAA, the conference MC, and the onsite AV team. Session content and program delivery needed to remain aligned for both the in-person audience and the 380 attendees participating online throughout the day.
As with any live event, program delays can easily occur. While onsite attendees see what is happening around them, virtual attendees do not have the same visibility. It was therefore important to keep the online audience informed of any timing changes and ensure they remained connected to the live conference experience rather than feeling like an afterthought.
Our Approach
Pre-event, Touchpoint created a dedicated virtual stream that allowed online attendees to remain in one continuous viewing environment across multiple sessions. This mirrored the onsite experience, where delegates could enter a room and watch several consecutive sessions before a scheduled catering break, without needing to repeatedly leave and join individual online sessions.
Throughout the conference, our team closely monitored the live program and adjusted session timings in real time as required. Updates were communicated through the event app and virtual portal, ensuring attendees remained informed of any program changes.
We also liaised directly with the conference MC in the plenary room to help keep sessions running as close to schedule as possible. This coordination ensured the MC remained actively aware of the virtual audience and could acknowledge and engage online attendees consistently throughout the day.
The Result
Consistent, proactive communication gave virtual attendees clear visibility of what was happening in the conference room, including any changes to scheduled session times. As a result, live support queries from the online audience remained minimal throughout the event.
The dedicated virtual stream also created a simple and convenient viewing experience, removing the need for attendees to move in and out of separate online sessions. Importantly, the virtual audience remained part of the wider conference experience and was regularly acknowledged by the MC, rather than being treated as a separate or secondary audience. The result was a connected hybrid experience that supported engagement from the opening session through to the conference close.
Technology Highlight
Touchpoint configured an integrated gamification strategy that ran simultaneously across the Mobile Event App for in-person delegates and the OnAIR portal for virtual attendees.
Attendees earned points by completing activities aligned with MFAA’s event objectives, including engaging with exhibitors, attending sessions and providing real-time feedback through session surveys. This encouraged active participation throughout the conference while helping MFAA gather valuable attendee insights.
The experience culminated in a series of live prize draws during the closing session. This created additional excitement, encouraged attendees to remain engaged through to the end of the conference and brought the in-person and virtual audiences together for a shared conclusion to the event.
