Touchpoint provided an integrated registration solution for the Hire and Rental Industry Association (HRIA), incorporating pre-event and onsite registrations with a delegate and visitor scanning app for data collection and analysis.

What
The Hire and Rental Industry Association (HRIA) enlisted the services Touchpoint to bring a new, technology focussed delegate management to their annual convention, allowing self-registration onsite and tracking of attendee movements throughout the event.
To provide a solution Touchpoint:

  • Produced a branded, web-based registration form and portal for onsite registrations
  • Provided an onsite printing station for on-the-spot registrations & badge production
  • Provided an integrated exhibition, session and function scanning solution with onsite equipment
  • Created a customised, double sided name badge with personalised fields and barcode for onsite scanning
  • Printing of 900 pre-registered badges in advance of the event.

How

To create an integrated registration solution, Touchpoint prepared and imported the detailed data from HRIA’s pre-event registration system. This allowed for all pre-event registrations and new onsite registrations to be housed and managed in one central, secure event database.

The 900 pre-registered attendee’s badges were pre-printed by Touchpoint with the customised name badge in advance of the event, collated and prepared for easy onsite collection.

For onsite registrations, Touchpoint built a fully-branded online registration form which captured the necessary information for HRIA and the personalised badge. Visitors or delegates arriving on the day were able to walk up to a ‘self-check-in portal’, complete a form and print their own badge from the onsite printing station.

To manage delegate movements through-out the event and obtain crucial event data, an onsite scanning solution was delivered. At select entrance points throughout the exhibition, session rooms and function locations, volunteer staff manned scanning units which were configured with an app allowing each delegate’s badge to be scanned and their details captured. The app’s dual purpose identified if that attendee was entitled to attend with a colour-coded screen and message, whilst marking all entitled attendee records as ‘checked in’ with a timestamp.

Post-event, Touchpoint provided comprehensive reporting which detailed actual attendance figures, onsite registrations/purchases for financial management and ‘checked in’ scanning statistics.
